Accessing Administration
📄️ Localization
The user in VisiumKMS v12 now has the ability to localize labels, error messages and save messages. In this section the user will be given steps to localize labels, error messages and save messages. It is encouraged that an IT admin should have permissions to the Application Localization roles/tokens with those credentials do the localizations for the company or talk to the implementation project manager.
📄️ Attachment Category
This allows the User to see what the attachment category would be, for example a spreadsheets, document, presentation, etc.
📄️ Audit Finding Details
The Finding Details are associated a finding in the audit question. The finding summary is configured based on how the customer will set up findings for audits.
📄️ Audit Protocols
In addition to setting the Audit Types, the user must also set up the Protocols. Many of the selections are now hierarchical, which means there is a top level, second level, third level and so on (sometimes called a tree view). The user can drag and drop to move protocol categories and sections. The user may also add questions in the protocol section if desired.
📄️ Audit Ranking
Prior to using the Audit Plans in the Auditor Module, Audit Risk Ranking must be configured. In this section the user will learn how to set up the risk ranking.
📄️ Audit Templates
Audit Templates are used to assign default Protocols and Questions to locations and Audit Types. Audit Types and Protocols should be configured prior to the configuration of Audit Templates.

To begin using auditor, the user will need to set up Audit Types.
📄️ Auditor Selections
The Auditor Libraries, in the Administration Module, can only be accessed by a user with the appropriate permissions.
📄️ Basis
Basis defines why the MOC or Recommendation is being initiated. The reasons why can be numerous, i.e., Safety, Environmental, Health, Reliability, Compliance, or Public Relations.
📄️ Category
User Category defines the category of the MOC or Recommendation being proposed. Examples are Equipment/Piping, Procedural, Software, and Technology. This selection type also defines the association to Evaluation and PSSR checklists.
📄️ Checklists
Checklists are added in the Administration library for Resolution Tracker (Evaluation Checklist and PSSR Checklist), OI&I, and, Investigator.
📄️ Chemicals
Investigator allows the user to create a Chemical Library in order to identify and record chemicals that are involved in Incidents. These Chemicals could be the cause of the Incident or released as a result of the Incident. All Chemicals used in the organization's processes or which are a result of the organization's processes should be included in the Library.
📄️ Companies
Go to Administration>Selections>General>Companies to add the company's name.
📄️ Cost Category
Select Administration>Selections>General>Cost Category to add or edit a cost category.
📄️ Delegation of Authority
The Delegation of Authority feature allows a user that will be gone on leave or traveling to allow another user to work assignments that have been delegated.
📄️ Department
Departments can be added to further filter locations in modules.
📄️ Emergency Type
Defines the type of Emergency that justifies creating an Emergency MOC. Examples are Personal Injury, Environmental Impact, and Severe Economic Impact.
📄️ Environment Damage
Environment Damage is used in the Investigator module for the Cost Categories to classify the type of damage that could be done.

Before setting up the Equipment Library, the user must create Equipment Types. These types are used to describe and sort the various equipment used in each of the Locations. Each piece of equipment must be associated to an Equipment Type.

The Evaluation Checklist is version controlled. The user can view questions, copy checklist, set the checklist as obsolete, promote a checklist from draft to a published and delete a checklist.

📄️ Export Control License
The Export Control License defines export licenses used in the Resolution Tracker Module. This is a configurable item and must be turned on.
📄️ Functional Roles
There are many times that companies use shift work and multiple people may be working on the same checklist items. The user can now set up functional roles, assign users and security groups.
📄️ General Selections
This area of selections is referred to as the General Library. The General Library comprises of selection administration that cross more than one module.
📄️ Incident Severity
Severity levels, defined by the user's location, are assigned on the Details tab when initiating an investigation. The description of the Severity Level is accessible to all users with access rights for the investigation.

To access Incident Types, select Administration>Selections on the Menu Bar. The initiator can assign as many incident types as necessary to an incident investigation.

Techniques involved in a Root Cause Analysis. This is used in the Root Causes tab. The user will determine the methodology and select that from the list.

VisiumKMS allows you to create Investigator Checklists that are used to determine whether or not any infractions to company principles or doctrine occurred which caused or contributed to the cause of the Incident. These Checklists could include tenets, safe/unsafe practices, policies, or procedures.

This defines types of locations such as Crude and Alky. By assigning synonyms this will allow the User to run reports on the same type of location in multiple facilities.

📄️ Manage BadgerMail
BadgerMail is the alerting system within KMS. To access Manage BadgerMail the user will go through the Administration menu. BadgerMail is used to create the subject line and email body for each BadgerMail type, assign multiple recipients and assign notification time periods.
📄️ Manage Equipment
This provides users with greater flexibility when managing new equipment, and allows administrators to set up equipment that can be available to all locations as well as link equipment to a specific location.
📄️ Manage Groups and Roles
In past versions of KMS, permissions were based on Levels. In the current version the permission levels are not at a high level or lower levels. The company can determine at what level they want users to have based on task.
📄️ Manage Reports
Rather than create a number of generic standard reports, KMS provides functionality which enables your company to create Ad Hoc Reports which meet reporting requirements which may be specific for only your company.
📄️ Manage Role Based Security
On the Manage Role Based Security page, Groups and Roles (permissions) are assigned to Users to determine rights.. These groups and roles can be modified by going into the Manage Groups and Roles section on the Manage Role Based Security page.
📄️ Manage Treatment Providers
In order to record and track treatment information, OII provides a library of Treatment Providers. Treatment providers include clinics, hospitals, physicians and outpatient facilities.

Resolution is a configurable field which indicates the resolution to the Action. The default values for this are configurable between the Unit, Supervisor, or the Responsible Person. This is now available as an option to add, edit the pick list.

As customer purchase VisiumKMS modules, this Administration>System Maintenance is where the customer will place a license code that will be generated and sent to the Administrator.
📄️ Tracker Source
Source defines where the MOC or Recommendation comes from or the activities or groups that initiated the MOC or Recommendation, such as PSM Compliance Audit, Risk Assessor, Environmental Investigation, or Safety Suggestion.
📄️ Unit of Measurements
The Unit of Measurement defines units used in the Investigator Module. These can be associated to Cost Categories, weights, time, etc.
📄️ Weather
The Weather Library is used to identify weather conditions at the time that the injury or illness occurred. In many instances, the weather could have been a contributing cause of the injury or illness and should be recorded.
📄️ Workflows
Currently, workflows can only be added to the Workflows in administration by the implementation team. Please contact the Account Manager or implementation consultant for more information on configuring custom workflows.
