Evaluation Checklists

The Evaluation Checklist is version controlled. The user can view questions, copy checklist, set the checklist as obsolete, promote a checklist from draft to a published and delete a checklist.

If the checklist is not completed it is in draft form and questions or checklist items can be added until it is promoted and published.

Once published the user will need to Create New Draft to make changes to the existing checklist. Once the new draft is promoted the existing active checklist is obsoleted and the version on the draft will have the version number and become active. This ensures that the previous checklist in an MOC will remain the same. It gives the user and the company traceability for any "in kind" or "not in kind" checklists used.

If the user would like to use an existing checklist for another location, the Copy Checklist would be the easiest way to complete this task. By copying the checklist the user adds the existing checklist in the draft format.

Note

It is recommended that the user change the title and/or location. If the user does not do this, there will be a checklist that has the same title and location added (an additional checklist will be displayed based on the category selected) and it will be set at version 1.

The checklist can be grouped by location, checklist title, statue or version. The checklists are in one page with sections. The Checklist titles, to the Checklist template, and then the Checklist Questions for ease of use.

Add Checklist

When opening the Evaluation Checklist, there are two distinct windows. The first would be having the ability to quickly add a Checklist by doing the following:

  1. To get to Evaluation Checklist - go to Administration>Checklists and click on Evaluation
  2. The page will open and the User will see fields under the Checklist header and a grid beneath.
  3. Enter a Location this can allow site specific checklist items.
  4. Select Categories that will be associated to this checklist.
  5. If the Checklist is required, check the box
  6. Select a Question Target Date: the choices are, Target Date Closure, Target Start up Date and Actual Start up date
  7. Using the radio buttons, select a + or -. The + increases the day value of the offset in business days and the - decreases the day value of the offset in business days

Example

If the target closure date is 180 days out and the evaluation checklist should be done 30 days after initiation the offset would be -150 days and the target closure date on the evaluation checklists items would reflect that date value. Target Closure date is 7/31/17 - 150 business days = 3/3/2017 will be the target date of the evaluation item.

  1. Using the up or down arrows, select the number of days for the offset
  2. Enter a descriptive Title for the Template. If there are multiple languages enter the title in each field.
  3. Click Add
  4. The template will be in the grid below and will have a draft as a status
  5. To group by Location, Status or Title, the user may draft the header title to the field and the checklists will be grouped by the selected header.

Multiple column headers can be added to group by.

The checklist details will include additional information:

  • Version: the version of the checklist
  • Status: will be Draft, Active or Obsolete
  • Activated by: is the person who promoted the checklist and the date
  • Created By: this is the person that created the checklist
  • Set Obsolete By: this is the person that set the checklist to obsolete
  • Checkout On: date that the checklist was checked out
  • Created On: date that the checklist was created
  • Set Obsolete On: date that the checklist was removed as obsolete

Create a Checklist

Items on the grid will be:

  • Location Display: is the location where the checklist will be usedS
  • Checklist Title: is the title of the checklist
  • Status: this is either Draft, Active or Obsolete
  • Version: is the Version of the Checklist once promoted to an Active status
  • Select Button: this will open the Checklist Details Location and Title
  • View Questions Button: this will open the Checklist Questions
  • Copy Checklist Button: this will copy any checklist
  • Set Obsolete Button: this will allow the user to obsolete a Checklist and the checklist cannot be used
  • Promote Button: this button will take a draft status Checklist and move it to an active status
  • Delete Button: this only delete a checklist that is in draft status

Select Workflows for the Checklist

If the user has multiple workflows in the application, they can choose which workflow the checklist will be displayed in. The checklist must be in draft.

  1. When setting up the checklist, click the Workflow Steps. The different workflows will be displayed in a grid.
  2. Using the drop down to the right of the workflow name will allow the user to select which step in the workflow the checklist will go to. If the checklist does not go to any other workflow, select Not Applicable.
  3. Click Update.

Copy Evaluation Checklist

The user can copy an Evaluation Checklist for use at another location. In Administration>Checklists>Evaluation, find the checklist to copy and then click Copy Checklist.

The User may copy any Active or Obsolete Checklist to use at another location.

  1. The checklist will be saved at the end of the list and set as a Draft Status.
  2. Click the Select button
  3. The Checklist Details will open and the User can change the Location and/or Title
  4. Click Update when all desired changes are completed

Deleting a Checklist

Only Draft Checklist can be Deleted. To delete a draft checklist, locate the checklist and click the Delete Button location to the right of the Promote button. A confirmation window will open, if the user wishes to continue the deleting of a checklist click Ok.
